Job Title: Chapter Coordinator
Location: Hybrid. In-person location either: UofT St.
George, UofT Mississauga, UofT Scarborough
or York University
Duration: Permanent, Full-Time (40 hrs/week)
Reports to: Co-Executive Directors, Assistant Director
Works with Communications Director, Fundraising
Director, HR Director, other Chapter
Coordinators, student staff and volunteers
Start Date TBD: late August / early September 2024
Work Hours: Flexible, typically weekdays 10-5, with
occasionally weekday evening and weekend
work
Salary: $26/hour
Benefits: health plan, five weeks of paid vacation, paid
sick leave, flexible schedule
Probation Period: 3 months

for someone who will be an integral part of the leadership team, ensuring all chapter initiatives are operated effectively, that our initiatives and events are communicated effectively to the student body, effectively recruiting and training each term, and ensuring that all university obligations are met.


What can I expect to do in this role?
Working with the staff team, you will be responsible for the day-to-day management of the chapter. You’ll have to wear many hats: coordinating staff and volunteers, initiative operations (including ensuring policies and procedures are followed), coordinating communications and outreach efforts on campus, liaising with university administrators, mentoring and training student leaders, assisting in the development of new initiatives, event planning and management, and filling in the duties of when other staff are absent (including going in-person to other campuses). Importantly, you will identify and address chapter needs, and navigate the complex world of university politics, to ensure sustainable and consistent delivery of our programs. Initiatives vary by campus, but could include Free Stores, Community Gardens, Reuse Centres, Grocery Co-operatives, Item Libraries, Fair-Trade
Cafes, Community Bike Centres, Community Gardens, Food Recovery, and Composting. Programs and events also vary by campus and the interest of student body. You will receive significant support in your role from Regenesis Canada, including support for chapter communications, education/training, financial management and
fundraising.

● Solid administrative and interpersonal skills will ensure that programs and services are delivered
sustainably and consistently, through effective communication and collaboration among staff and
volunteers.
● The experience and knowledge to train and mentor student leaders, including student board members, student-staff and volunteers.
● Demonstrated combination of understanding, experience and skills to operate environmental initiatives.
● You have good judgement and creativity to ensure our message is communicated effectively and
professionally to students on campus through social media, outreach tabling, e-newsletter, posters and departmental newsletters.
● Your experience as a strong writer will help in developing grant applications, research reports and business plans in support of proposed and new initiatives.
● You have led teams to achieve objectives and can delegate effectively while fostering a strong sense of
community and organizational culture. You have (or can develop) a strong understanding of the
organization’s goals, purpose, history, policies and programs.
● You have significant experience working with university administrators and a solid understanding of the political environment of a university.

Qualifications
University degree in a related field supplemented by a minimum of 1 year related experience which demonstrates the competencies noted above. Equivalencies, such as experience with a student organization, will be considered.

Role and Responsibilities
Reporting to the Executive Director, the Chapter Coordinator will be an integral part of the leadership team. The Chapter Coordinator’s duties include ensuring the day-to-day operations of the chapter and its initiatives.

Administrative and Operations
● Provide solid administrative and operational management for the chapter, its initiatives, programs and events; this will include management, scheduling, operations and planning.
● Keep accurate financial records for the bookkeeping and auditor, primarily ensuring all receipts and reimbursement requests are accurate and uploaded.
● Act as a resource to staff and volunteers and ensure that they are kept up to date on all matters related to the organization
● Monitor, gather, interpret and articulate information to the Board and fellow staff on the initiative needs and performance
● Ensure policies and procedures, including financial and health/safety procedures, are followed
● Organize weekly team meetings
● Write emails and other correspondence
● Supervise the filing and organization of information on Google Shared Drive
● Assist the Board of the chapter and organizing Board meetings
● Assist the Board with succession and succession planning
● Assist the Board with other duties, as required

HR, Education and Training
● Mentor, train and support student staff and volunteers
● Assist in the management and supervision of volunteers and staff, and developing the existing staff into a
strong, highly motivated and well-coordinated team

Communications
● Coordinate chapter communications and outreach efforts
● Ensure all communications is error-free and professionally suited for the university environment

University Relations
● Liaise with external stakeholders, such as university officials, student and labour unions, government officials
and politicians, and other organizations, and build and nurture partnerships
● Help lead negotiations with university officials in order to garner support
● Successfully navigate the complex university political environment in all dealings

Writing, Research and Fundraising
● Developing business plans and research reports
● Assisting with grant writing for the campus chapter
● Ensuring the proofreading, fact checking, design of grant proposals, reports and business plans

Other
● Understanding of Regenesis, its purpose, history, policies and programs
● Represent the organization in a professional and congenial manner in person, in telephone conversations, and in written correspondence
● Delegation, filling in, or sharing of duties with others as necessary, including at other campuses
